Audio Vault numbering?

We are installing a new Vault system at our station and I need some suggestions on numbering everying. We use Selector and Wicks for music and ad scheduling.

Numbering for music, commercials, promos, jingles, liners, psa's, etc etc.
Please let me know how your station numbers things or the system of numbering that you use for Audio Vault.

How many stations do you have in your building?

If it's more than one, you could go for labeling each station's library, sweepers, etc...with a number.

For instance...Station A, all music starts with 10-****. Sweepers, jingles, etc...are labeled 1000000, and so on. Station B is 20-****

Commercials can be labeled with a four digit number. It's up to you.

It's been a few years since I worked with AV, but if I'm not mistaken you can use letters as well as numbers for cut #s. Maybe use a one or 2 letter prefix to designate station categories.

For spots we give them a 3-digit number... 100s for one salesperson, 200s for another, etc. I think 900s are promos. Some spots with multiple cuts that rotate get 100A, 100B, etc.

For music, various categories are used corresponding to the categories on the format clock. Two letter abbrevation followed by a number.

When we used to play music on the AM, all the music came from CDs which had been numbered... so it was AM001-01, first cut on #1 CD.

For news actualities, using the date seems to work the best. 1028-1A & 1028-1B
would be for the 1st and 2nd cuts used in one story, 1028-2 one cut used in another story.
 
You can number in AudioVault anyway you like.. I think it's a maximum of 8 characters..

Personally, I'd use a numbering system..

0000 - 0999 = Spots
1000 - 1999 = Station 1 specific elements (Jingles, Sweepers, etc)
2000 - 2999 = Station 2 specific elements

For music, if you have multiple formats you could do like..
20000 - 20999 = Format 1
21000 - 21999 = Format 2

As prod/imaging director of 2 of our stations, I have two sets of parameters, on one hand the classic rock pd will just tell me to give it my own distinct "number" across the hall the AC pd already has a system in place which I'll share with you..
Promos- are prefixed by "TP" and then the number, if you're putting cuts into a cart,, TP10-#, with the cart being just TP10,
Sweeps "TS"
Liners "TL"
Beds "TB"
Drops "TD"
Spots are determined by the traffic department and I have no control over that

Music: I started with 001-01 and worked my way forward, I think I'm now at 407-56.. each desgination which means I have 407 carts with 100 songs in each,, roughly 4000 or so.. it all really depends on how your Selector is set up, if you're starting brand new,, it will be easy,, if you're already set in your ways of labeling things, just stick with what you have and label everything according to YOUR SELECTOR settings, it will make it a lot easier on your prod person.

Here's what I do..



Music is 8 characrters.. starting with *0000001

I have 5 stations..

Rock = 40000001

Country = 50000001

AC = 30000001

Spots are 4 numbers.. 0001 - 9999

Everything else is ALPHA up to 13 characters..

this can be easily done with Selector. Just have Paul and the guys in White Plains set it up.
