It depends on your budget. If you're on a small budget Excel can be an easy way to keep track of winners. Make fields for name, address, phone number, email address, prize won, prize value, date prize won. At the end of the year this make it easy for you to sort the list by prize value, and take care of tax reporting as needed. This also makes it easy to sort by name to confirm someone hasn't won in the last 30 days (or whatever your rules require).

If it fits your budget, great. I think using web-based tools is more effective because you can "share" rights to co-workers, or those needing access.

You can setup a Google Calendar to schedule prizes and remotes, and "share" the calendar with jocks, promo people, etc. and at anytime anyone can login and view the calendar -- regardless of location.

Considering that company's sales brochure is almost 5 years old, I wouldn't necessarily trust it. The software might be very outdated in regards to needs. I'd consider finding free online tools that are available.

PromoSuite. Nothing better. Paarticularly good if you need client certification for sales promotions.
 
Agree PromoSuite is the way to go. But use it as it's suppose to be and can be used. I've run into too many lazy promo directors that use it to collect winner data, period. Use it to share notes with staff, coordinate gives in all day parts, print reports, generate thank you for listening cards, police your winner rules. It's deep dig in and get your monies worth out of it!
